artificial intelligence and the phone
AI answers. a person persuades. AI voice agent or a person: reception and appointment setting
For answering the phone, an AI voice agent is today the best choice on the market. Booking a meeting with someone who is not expecting your call needs something else: listening, tone, voice, the ability to understand a person in a few seconds. This is where the line runs, from people who make calls every day.
Two different jobs with the same phone.
When someone calls you, they have already decided to. They want information, a time, an appointment. Whoever answers must be quick, accurate and always available. That is reception work.
When you call a company that does not know you, the person on the other end was not expecting you, is busy and has heard a hundred offers. The first minute decides whether they will listen. That is the job of booking appointments, and it rests on things very different from speed.
reception
here AI is the best choice.
A voice agent answers every call, at three in the morning as at noon, and keeps nobody waiting when ten arrive at once. It gives opening hours and addresses, says where an order is, answers frequent questions, reads the diary and books whoever wants an appointment. It does not get tired, does not forget to call back and gives everyone the same answer. Difficult calls it passes to a person.
For phone reception there is nothing better on the market today, and we say so even though it is not our business. If your problem is missed calls, the answer is a voice agent, not a call centre.
appointment setting
here the person counts, not the number.
Vendors of voice agents for outbound calls almost always talk about quantity: how many calls a day, how many contacts an hour. But a B2B campaign is not judged by calls made. It is judged by real meetings with people who can sign, and a real meeting is earned another way.
It is earned by hearing that the owner answered in a hurry and offering to call back at five. By understanding that a “not interested” said out of habit hides a problem with the current supplier. By noticing irony, tiredness, a hesitation, and changing tone. By knowing when to push and when to say thank you and hang up. It is empathy, understanding, tone and voice: things artificial intelligence cannot judge today.
A voice agent makes far more calls than an operator. But an appointment booked with someone who was not convinced falls through the day before, or becomes a courtesy meeting that costs your salesperson half a day. And a decision maker who recognises a synthetic voice usually hangs up, and remembers who called.
the comparison
who does what.
| Task | Who does it best today | Why |
|---|---|---|
| Answering every inbound call, at night and at peak times | AI | always answers, no waiting |
| Giving opening hours, addresses, order status, frequent answers | AI | fast and always consistent |
| Booking callers who have already decided | AI | reads the calendar and confirms |
| Reminding of an appointment the day before | AI or person | a reminder is enough; a call saves the shaky ones |
| Routing calls and taking messages | AI | never forgets and never loses a call |
| Calling a decision maker who does not know you | person | the first minute is won by the voice |
| Telling whether “not interested” means no or “not now” | person | you need to hear the tone, not just the words |
| Winning back a lost customer | person | people who left want to be listened to |
| Deciding whether the meeting is worth the salesperson’s trip | person | it is a judgement, not a rule |
together
each in its place.
The setup we see working best uses both. The voice agent answers inbound calls, books those already convinced and sends reminders. People make outbound calls, qualify, book meetings with decision makers and call back lost customers. AI takes away repetitive work; people keep the work that needs judgement.
The rules stay the same for everyone: anyone calling to sell in Italy must check lists against the Italian opt-out register, and the European AI Act requires people to be told when they are talking to an AI system.
what we do
one hundred percent human, where it matters.
Our operators make the outbound calls that need a person: appointment setting, B2B telemarketing and dormant customer reactivation. Every call ends with a written outcome in the client dashboard, so you see how many real meetings come out of the work, not just how many calls. If what you need is reception, we tell you at the first contact and recommend a voice agent.
questions
what we get asked most often.
Can an AI voice agent book appointments?
Yes, when the caller already wants the appointment: it reads the diary, offers a time and confirms it. That is excellent reception work. Booking a meeting with a decision maker who does not know you is a different job, because first you have to earn their time.
For phone reception, is AI or a person better?
Today AI, in most cases. It always answers, even out of hours and when ten calls arrive at once, it does not get tired and gives everyone the same answer. A person is still useful for sensitive calls, which the AI can pass on.
Why does ALIS not use AI for outbound calls?
Because in a cold call the result depends on things AI cannot judge today: the tone of the person answering, a hesitation, irony, tiredness, a no said out of habit. An operator hears them and changes the way she speaks. A voice agent makes more calls, but an appointment booked badly falls through or becomes a courtesy meeting.
Does the number of calls matter?
Less than people think. What decides a campaign is how many real meetings happen with people who can sign. That is why we measure calls, duration, appointments and confirmations, and reward our operators on the good appointment, not on the count.
Do people realise they are talking to an AI?
Often yes, from the first sentence, and a decision maker who notices usually hangs up. The European AI Act also requires people to be told when they are interacting with an AI system.
Can the two be used together?
Yes, and it is often the best solution: AI answers inbound calls and books those already convinced, people make outbound calls, qualify and book meetings with decision makers. Each does the job it is best at.
Does the Italian opt-out register apply to voice agents too?
Yes. The rules on commercial calls do not change when an automated system makes the call: lists must be checked against the Italian opt-out register before every campaign.
Do you sell an AI reception service?
No. We make outbound calls by people. If what you need is answering the phone and booking callers, we tell you and recommend an AI voice agent; if you need meetings with decision makers who do not know you, we can help.
